Privacy Policy

This Privacy Policy explains what information Vortex Jiu Jitsu Academy collects, how we use it, who we share it with, and the choices you have. We keep our data practices simple: we collect what we need to run the academy, we don't sell your information, and we protect it.
1. Who we are
This policy applies to Vortex Jiu Jitsu Academy, located at 5132 Minton Rd #3, Palm Bay, FL 32907. You can reach us by phone at (321) 210-9085 or by email at coach@vortexbjj.com. If you have a privacy question or request, that email is the fastest way to reach us.
2. Information we collect
We collect the following kinds of information:
- Contact and inquiry details. When you submit our trial-signup or contact forms, we collect your name, email address, and phone number, and any message or class preference you choose to share. For youth programs, this may include a child’s first name provided by a parent or guardian.
- Membership and account details. If you enroll, we keep records needed to manage your membership, such as program enrollment, attendance, and emergency contact information.
- Payment information. Membership payments are processed by Stripe. Stripe collects and stores your card details directly; we receive only limited information such as a payment confirmation, the card brand and last four digits, and billing status. We do not store full card numbers on our own systems.
- Technical and usage data. Like most websites, we and our service providers may collect basic technical information such as IP address, browser type, and pages visited, and we use cookies and similar technologies as described below.
3. How we use your information
We use the information we collect to:
- respond to inquiries and follow up on trial-class requests;
- enroll and manage memberships, including class scheduling and attendance;
- process payments and handle billing, renewals, and cancellations;
- communicate with you about your membership, schedule changes, events, and important account or safety notices;
- operate, maintain, secure, and improve our website and services; and
- comply with our legal obligations and enforce our terms.
We do not sell your personal information, and we do not share it with third parties for their own marketing.
4. Service providers and third parties
We share personal information only with service providers who help us run the academy, and only as needed for them to perform their function:
- Stripeprocesses payments and recurring billing. Your payment data is handled under Stripe’s own privacy policy.
- Our email provider (a transactional email service) sends account and notification emails on our behalf.
- Googlepowers map embeds and business reviews; interacting with those features is also subject to Google’s privacy policy.
We may also disclose information if required by law, to protect the safety of our students or the public, or in connection with a sale or transfer of the business. We are not responsible for the privacy practices of third-party websites these providers may link to.
5. Cookies and sessions
Our website uses cookies and similar technologies for essential functions, such as keeping authenticated administrators logged in (session cookies) and remembering basic preferences like light or dark theme. These are used to operate the site, not to track you across other websites. You can control cookies through your browser settings, though disabling them may affect site functionality.
6. Children's privacy
Several of our programs serve minors, and we collect a child’s limited information only from a parent or guardian during enrollment or inquiry. We do not knowingly collect personal information directly from children. Enrollment and account decisions for a minor are made by the parent or legal guardian, who consents to our collection and use of the minor’s information as described in this policy. If you believe a child has provided us information without a guardian’s involvement, contact us and we will delete it.
7. Data retention
We keep personal information for as long as needed to provide our services and for legitimate business and legal purposes — for example, maintaining membership and billing records for the period required by tax and accounting rules. When information is no longer needed, we take reasonable steps to delete or anonymize it.
8. Your rights and choices
You may request to review, correct, or delete the personal information we hold about you, and you may opt out of non-essential communications at any time. To make a request, email us at coach@vortexbjj.com. We will respond within a reasonable time and may need to verify your identity before acting. Note that some information must be retained to meet legal or financial obligations even after a deletion request.
9. Security
We take reasonable administrative, technical, and physical measures to protect personal information, including limiting access to those who need it and relying on reputable providers such as Stripe for payment security. No method of transmission or storage is completely secure, however, so we cannot guarantee absolute security.
10. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date at the top of this page, and for material changes we will make reasonable efforts to provide additional notice. Your continued use of our services after an update means you accept the revised policy.
